Create a Quote from Estimate

System Location: Data Entry > Quoting > Quotations

This topic provides an example on how to create a customer quote using an existing estimate (defined manufactured part) as the source.

  1. Go to the blue Data Entry button, open the Quoting dropdown menu, and select Quotations.
  2. Click New.
General Section
  1. Verify / provide the Quote Number.
  2. Select the Customer the quote is being created for.
    • Selecting 'Free Form Customer' allows the user to create a quote for someone that is not in the system as a customer
      • Requires related information to be entered manually
  3. Verify / provide information for the following fields:
    • Quote Date
      • Defaults to current date but can be edited
    • Followup Date
    • Expires On (Date)
  4. (OPTIONAL) Click Add to Calendar to add a reminder in Contact Management on the date listed as the 'Followup Date.'
Line Items Section
  1. Click Search Part.
  2. Click Search to populate the Part Search Grid.
    • Search criteria can be used to narrow the list of items displayed.
  3. Select one or more parts to place on the quote.
  4. Click OK.
  5. Select the Line Item added to the grid.
  6. Click Details.
    • This opens the Line Item Details by default.
  7. Verify the following values for the selected line item and edit if needed:
    • General Section
    • Quantities Section
    • Comments Section
  8. Click OK to close details.
  9. Repeat for each line item as appropriate.
Complete the Quote
  1. Verify / edit the following values in the Header Section:
    • Currency Code
    • Sales ID
    • Terms Code
    • Tax Code
    • Shipping Code
  2. Verify / enter information in the Available Addresses Section.
    • Selecting a Location Code populates the needed information if a Customer Code is used on the quote.
  3. Enter information into Quote Notes (in Notes Section.)
    • Information prints on quote and will pull forward to customer related documents on jobs if the quote is accepted.
  4. Click Save to close and save the quote.
