Create / Edit Attendance Ticket in Shop Floor Control

System Location: Data Entry > Shop Floor Control > Time And Attendance

This topic provides details on how to create an attendance ticket by entering information directly into the Shop Floor Control Area as opposed to using Data Collection. Entering an attendance ticket in this manner is often referred to as a "manual attendance ticket."

This topic focuses on creating a new attendance ticket; however the same concepts would be applied to editing an existing attendance ticket if needed.

  1. In the Navigation Sidebar, click the Data Entry button.Data Entry Button
  2. Open the 'Shop Floor Control' dropdown menu.
  3. Select 'Time And Attendance.'
  4. Click 'New' (located at the top of the page.)
    • Use 'Edit' if an existing attendance ticket needs to be corrected.

Provide Values

Provide information for the fields listed below at a minimum to take advantage of JobBOSS2's reporting and analysis tools in addition to benefiting from its ability to pass information along from one part of the software to another.

An asterisk [*] indicates a required field.

General Section
  1. Select an *'Employee Code' from the dropdown menu provided to indicate who the ticket is for.
    • 'Employee Name' populates automatically.
    • Employee Code cannot be edited once the ticket is saved.
  2. Verify / edit the attendance ticket *'Date.'
    • This represents the date the employee "clocked in" for purposes of attendance calculations.
    • Date defaults to the current date but can be edited during creation.
    • It Cannot be edited once saved.
Details Section
  1. Click 'Add Row.'
  2. Enter / verify the following information in the row provided:
    • Actual Clock In / Actual Clock Out - These are the times the employee physically clocked in and clocked out.
      • Time information entered manually needs to be entered in "military" or "24 hour" format. (i.e. 02:00 pm = 14:00)
        • The complete time needs to be entered, not just the first two numbers.
          • Example: If the employee clocked in at 8 a.m., the 'Actual Clock In' value needs to be '08:00'.
          • Just entering '08' and tabbing off the field causes the system to auto fill the minutes section with the current time's value for minutes, not '00.'
      • When using data collection devices, the system captures the exact time employees clock in / out
    • Adjusted Clock In / Adjusted Clock Out - These are the clock in and clock out times the system will use for attendance related calculations
      • These values default to the same as the 'Actual Clock In / Actual Clock Out' values provided when entering manual attendance tickets.
      • When using data collection devices, the system can be configured to automatically round 'Actual' times to determine 'Adjusted' times
        • Rounding rules determined by Company Maintenance Settings
    • Adjusted time values are used for determining payroll amounts and must be present in order for attendance reports to display times.
    • *Attendance Code - Indicates whether time is productive or not
      • Use 'ON BREAK' to indicate the employee is on break and should not be paid
    • *Clock Out Date - Used with the 'Date' field (General Section) to determine how much time actually passed
      • Defaults to date present in 'Date' field when row is added
      • Can be edited once saved
    • Pay Rate - Determines the dollar amount due the employee
    • GL Code - Used for breakout reports and accounting purposes (payroll)
    • Overtime - When checked, the system will apply the 'Overtime Factor' provided in Company Maintenance to the selected line item for payroll purposes
      • Checked automatically by system when using data collection devices in conjunction when overtime calculations have been enabled in Company Maintenance Settings
    • Shift - Designate what shift the employee worked
    • Holiday - Place a check if the attendance ticket represents a holiday when the shop was closed
    • Comments - This field can be used to enter details for reference
  3. Repeat the process for as many time frames as needed for the selected date.
    • It would be typical to see at least three lines on an attendance ticket:
      • Line 1 - Represents time frame from when the employee clocked in up to their lunch / break
      • Line 2 - Represents the time they were on break
      • Line 3 - Represents the time frame from when the employee clocked back in from break up to the time they clocked out to go home
  4. Click 'Save' to close and save the record.
    1. Use the Save dropdown menu if you want to create a new record or print a report upon saving.
