Use the Inventory Transfer Utility

System Location: Data Entry > Inventory > Inventory Transfers

This topic provides details on the following functions of the Inventory Transfers Utility:

  • Posting material between inventory and jobs
  • Posting material between jobs
  • Editing Bin and Lot information for material already posted to jobs

Select the Source / Destination Job
  1. In the Navigation Sidebar, click the Data Entry button.Data Entry Button
  2. Open the 'Inventory' dropdown menu.
  3. Select 'Inventory Transfers'.
    • The Inventory Transfers Navigator displays.
  4. Click 'Search.'
    • By default the Navigator Grid displays all jobs with a status of 'Open.'
    • The search criteria provided can be used to narrow or expand the list of jobs displayed.
  5. Select the job to transfer material to / from or to edit Bin information for.
    • The job selected will be the source or destination of material based on the option selected next.
    • The options below provide details on how to proceed based on the type of transaction desired.
ClosedTransfer Material From Inventory To A Job

The selected job becomes the Destination Job.

  1. Click 'Stock To Job.'Stock To Job Transfer
    • The Stock To Job Inventory Transfer Screen displays.
  2. Click 'Search Part' (located in Grid Action Toolbar.)
    • The Part Search Grid displays.
  3. Click 'Search.'
    • The grid displays all the parts defined within JobBOSS2 by default.
    • The available search criteria can be used to narrow the list of parts displayed.
  4. Select one or more parts to transfer / post to the Destination Job.
    • Both manufactured and purchased parts can be transferred to the Destination Job; however only purchased parts can be used to satisfy open material requirements.
    • Parts can be posted to a job with or without open requirements.
  5. Click 'OK.'
    • The utility displays a prompt to determine how much material should be transferred.
  6. Enter the total quantity (in terms of the part's Stocking Unit) that should be transferred from inventory to the Destination Job.
    • Quantities must be entered in whole units.
    • If a quantity is entered that is greater than the quantity that is available (listed in 'Qty On Hand' column), the utility will create a requirement for the amount that exceeds what is on hand.
    • Inventory will never display a negative value.
  7. Click 'OK' on the prompt.
  8. Repeat the process of entering the quantity to transfer as needed.
    • The prompt will be provided for each part selected.
    • When a quantity has been entered for the last part selected, the user is taken back to the Stock To Job Inventory Transfer Screen.
  9. Click 'OK' to transfer the selected parts and close the Stock To Job Inventory Transfer Screen.
  10. Click 'Close' to exit the Inventory Transfer Navigator.
ClosedTransfer Material From A Job To Inventory

The selected job becomes the Source Job.

  1. Click 'Job To Stock.'Job To Stock Transfer
    • The Job To Stock Inventory Transfer Grid displays a list of all parts that have been posted to the Source Job.
  2. In situations where all material previously posted to the job should be unposted, simply click 'OK' and proceed to Step 10; otherwise continue to Step 8.
  3. (OPTIONAL) Click 'Zero Grid.'
    • By default the utility assumes that the entire quantity of all posted parts should be unposted and placed into inventory.
    • Clicking 'Zero Grid' sets the 'Quantity To Unpost' for all listed parts to zero at one time and reduces the chance of removing material by accident.
  4. For each part that needs to have some (or all) of the existing quantity unposted:
    1. Click in 'Quantity To Unpost' and enter the number of (Stocking) units should be removed and placed into inventory.
      • The value cannot exceed the quantity posted to the job.
      • The quantity must be a whole value.
    2. Enter / edit a 'Bin Number' and 'Lot Number' value to indicate where the material will be physically placed and how it should be identified.
      • Bin information is required; Lot information is optional.
    3. Indicate whether a job requirement should be created for the unposted material.
      • Selecting 'Y' from the dropdown menu will cause the utility to create a requirement for the unposted quantity when the transfer is completed.
  5. Click 'OK' once the quantity to unpost has been entered for all applicable parts.
  6. Click 'Yes' on the prompt to continue.
    • The system transfers the parts as designated and the user is taken back to the Inventory Transfer Navigator.
    • Clicking 'No' returns the user to the grid and allows them to make additional changes.
  7. Click 'Close' to exit the Inventory Transfer Navigator.
ClosedTransfer Material From One Job To One Or More Other Jobs

The selected job becomes the Source Job.

  1. Click 'Job To Job.'Job To Job Transfer
    • The Job To Job Inventory Transfer Grid displays a list of all parts that have been posted to the Source Job.
  2. (OPTIONAL) Click 'Zero Grid.'
    • By default the utility assumes that the entire quantity of all posted parts should be unposted and transferred to another job.
    • Clicking 'Zero Grid' sets the 'Quantity To Transfer' for all listed parts to zero at one time and reduces the chance of removing material by accident.
  3. For each part that needs to have some (or all) of the existing quantity transferred:
    1. Select the job the material should be transferred to (Destination Jobs.) This can be done in one of the following ways:
      • Click 'Search Part' and select a job from the list.
        • The selected job populates the 'Job Number' field for all parts listed in the grid when the user clicks 'OK' in the Job Search screen.
        • Having a job number associated with a part has no impact if the 'Qty To Transfer' is zero.
      • Click in the 'Job Number' field for each part that needs to be transferred and type the desired job number.
        • The 'Search' button can still be used to identify job numbers.
        • If a job is selected from the search list (by clicking 'OK') it will populate any 'Job Number' field that is still blank.
      • A part can only be transferred to one job at a time. If the quantity of a specific item needs to be transferred to multiple jobs, it will need to be done through the creation of multiple Job To Job Transfers.
    2. Click in 'Quantity To Transfer' and enter the number of (Stocking) units that should be transferred to the listed Destination Job.
      • The value cannot exceed the quantity posted to the job.
      • The quantity can be a decimal value.
    3. Indicate whether a job requirement should be created for the transferred material.
      • Selecting 'Y' from the dropdown menu will cause the utility to create a requirement for the unposted quantity when the transfer is completed.
  4. Click 'OK' once the quantity to transfer has been entered for all applicable parts.
  5. Click 'Yes' on the prompt to continue.
    • The system transfers the parts as designated and the user is taken back to the Inventory Transfer Navigator.
    • Clicking 'No' returns the user to the grid and allows them to make additional changes.
  6. Click 'Close' to exit the Inventory Transfer Navigator.
ClosedEdit Location Information For Material Already Posted To A Job

The selected job is the one having the posted material location updated.

  1. Click 'Edit Bin/Lot.'Edit Bin / Lot
    • The Bin / Lot Inventory Transfer Grid displays a list of all parts that have been posted to the selected job.
  2. For each part that needs to have its physical location updated:
    1. Click in 'Bin Number' and enter the new location by typing it in the field.
    2. (OPTIONAL) Click in 'Lot Number' and update as appropriate.
  3. Click 'OK' once the new location information has been entered for all applicable parts.
  4. Click 'Yes' on the prompt to continue.
    • The user is taken back to the Inventory Transfer Navigator.
    • Clicking 'No' returns the user to the grid and allows them to make additional changes.
  5. Click 'OK' to transfer the selected parts and close the Job To Job Inventory Transfer Grid.
  6. Click 'Close' to exit the Inventory Transfer Navigator.
