Use the Inventory Adjustments Utility

System Location: Data Entry > Inventory > Inventory Adjustments

This topic provides details on how to use the Inventory Adjustments Utility as a way to update details on records representing available quantities of defined parts (both estimates and purchased parts.)

The Inventory Adjustments Utility is very useful when entering initial inventory details and when performing scheduled inventory counts.

  1. Go to the blue Data Entry tab, open the Inventory dropdown menu, and select Inventory Adjustments.
  2. Click Search.
    • The Inventory Adjustments Grid displays a list of all defined parts (unless filtered) and the Tag Numbers associated with each one.
      • Tag Numbers are system generated numeric values that uniquely identify each individual location / quantity record for parts in JobBOSS2.
      • Tag Numbers are required since parts can be stored in the same physical location (Bin Location) and may share a Lot Number (or may not have a Lot Number assigned) even if they are purchased at different times from different vendors or at different costs.
    • Parts that have no available quantity will still display for the purpose of entering initial inventory values.
  3. Select the desired Line item / Tag Number. The following fields are available to adjust:
    • Bin Location
    • Lot Number
    • Adjusted Quantity
    • Reason For Adjustment
      • System provides a default reason based on the edit made, but the information can be edited as desired
    • Vendor
      • This field is populated automatically by the system when material is received from a purchase order
        • Cannot be edited if a receiver is associated with the Bin Location / Line Item
    • Unit Cost
    • The Inventory Adjustment Summary can be used to see the effect of changing quantities and / or unit cost values.
  4. Continue adjusting Line Items / Tag Numbers until completed.
  5. Click Process.
    • The utility automatically removes all line items from the grid and updates inventory records based on the adjustments made.
  6. If the initial parts list was narrowed by use of filters, reset the search criteria, click Search, and make any additional adjustments as needed.

Once processed, inventory adjustments cannot be "edited"; rather another adjustment would need to be made to provide the correct information.
